Roles and Responsibilities of Your Implementation Team

Your implementation team is responsible for following instructions in the Implementation Guide to implement Tigerpaw Business Suite properly and on schedule. We strongly recommend you develop a team rather than assign this project to a single person. The team approach is more likely to result in a timely implementation.

If some of the following team roles are combined or do not apply in your organization, select individuals who are familiar with your accounting, sales and service processes.



Implementation manager

Typically a system administrator fills this role, which carries the following responsibilities:

*Direct the implementation decisions.

*Ensure Tigerpaw Business Suite is ready for implementation.

*Confirm all users are trained to perform their job functions.

Accounting expert or manager

This person should be familiar with your accounting books and how you track revenue/cost.

Sales expert or manager

The sales expert promotes user buy-in from your sales team and ensures your Tigerpaw Business Suite setup meets the sales reps' software needs.

Service expert or manager

The service expert promotes user buy-in from your service team and ensures your Tigerpaw Business Suite setup addresses the service technicians' software needs.

Power users

Power users have an in-depth knowledge of an application's features and shortcuts to efficiently utilize the software, such as Microsoft Word or Excel. In comparison, basic users have a limited knowledge of an application's features and are unaware of shortcuts.

To ensure all users are well trained, involve power users early in the implementation process and recruit them to train other users. Cultivating user buy-in from your power users also helps promote user buy-in from other employees.

Primary Responsibilities of the Implementation Manager/Team

The responsibilities listed below are utilized throughout the implementation cycle and are not limited to the planning phase.

Become educated on key features and functions.

Implementation team members should attend the live training sessions and watch the training videos listed in Checklist: Plan the Implementation. These training tools are free with an active Livebridge agreement. You can watch the videos and attend the live training sessions as many times as you want.

Identify the data you want to import and evaluate the condition of that data.

If your current database has accumulated bad data such as inaccurate customer and vendor records, you will need to allocate additional time to cleaning up the records before importing them into Tigerpaw Business Suite.

Set a realistic implementation timeline and target date.

When selecting the target date to start using Tigerpaw Business Suite in a production environment, take these factors into consideration:

*Amount of data you want to import or manually key into Tigerpaw Business Suite.

*Your estimated time to complete core processes implementation.

*Time and personnel you can dedicate to implementation.

*Skill levels/training requirements of the implementation team.

Dedicate resources to the implementation.

Use the Core Processes checklists to assign specific implementation tasks to members of your implementation team. Allocate sufficient time to ensure the tasks can be completed.

Review key reports you currently use and determine which Tigerpaw reports are comparable.

Tigerpaw Business Suite offers over 600 reports, plus standard and alternative document forms such as the standard Service Order form and the alternative Service Order with Electronic Signature form. Tigerpaw reports and document forms are saved as .RPT files.

After installing Tigerpaw Business Suite, compare your key reports to Tigerpaw reports. If you are uncertain which Tigerpaw reports and forms are equivalent to your key reports and forms, call your implementation contact or email If you require modifications to a report, log into and submit a Request for Custom Report Bid to determine the cost for this service. Provide a requested completion timeframe to ensure the reports are ready by your target date to start using Tigerpaw. This step is included in the Planning checklist.

Gridlines on Invoices

If you are migrating from an application that prints gridlines on invoices and you want to retain the gridlines, consider using the alternate gristly go to sleep proper upper invoice report titled Invoice - Grid and Time Logs.rpt. This report includes standard invoice header information, invoice details and the total amount due. When you print an invoice for multiple service orders, the invoice detail breaks out parts and labor details by service order. Below the Invoice Total amount, the report lists expenses (if applicable) and actual time logs for service orders on the invoice.

NOTE: If you bill customers for a rounded labor amount that is greater than the actual labor time, we recommend you do not use this invoice form, as customers will perceive a discrepancy between time logged and time billed.

Develop, document and test your procedures for performing specific job duties.

Write down your standard operating procedures to ensure the procedures are perfectly clear to end users and executed consistently throughout the company.

Start with the step-by-step instructions in Online Help and modify the instructions to fit your business processes.

The Develop Procedures and Train Users topic provides guidelines and resources for developing your internal documentation, including quick reference guides, training videos and a list of recommended procedures to document, such as service order entry.

Direct users to Tigerpaw's many training tools.

Make sure every employee creates a profile on My Tigerpaw and completes the training listed in Plan the Implementation.

Employees should also watch the recommended training videos relevant to their job duties, as listed in Develop Procedures and Train Users.

Provide hands-on training to ensure all users are properly trained on Tigerpaw Business Suite.

Well-trained users are more efficient and less likely to be frustrated with new software. Plan your training program based on information in Develop Procedures and Train Users.
